Month-end at most Indian factories and outlets looks the same.
Someone collects registers from every shift, squints at half-filled columns, argues about who was late, and types it all into Excel so salaries can go out on time.
It works. Until it doesn’t.
This guide shows you how an attendance management system replaces that routine, what it really costs in India, which 2025 labour code rules it has to follow, and how a 200-person, three-plant manufacturer rolled one out to every single employee.
You’ll see:
- How attendance turns into salary (the Punch-to-Payslip Chain)
- A cost comparison of five ways to track attendance, in rupees
- A rollout plan that keeps payroll safe in month one
Let’s get started.
An attendance management system is software that records when each employee starts and stops work, applies your shift, leave and overtime rules to those records, and produces payroll-ready totals for every person. It replaces paper registers and manual Excel work with punches captured by an app, a supervisor, or a biometric machine.
Quick answer: attendance management system (November 2026)
- An attendance management system captures punches, applies shift, leave and overtime rules, and feeds salary automatically.
- Mobile apps suit field and multi-site teams, biometric machines suit factory gates, and supervisor marking suits shift-based shop floors.
- India’s four labour codes took effect on 21 November 2025, with overtime at twice the ordinary wage beyond 8 hours a day or 48 hours a week.
- A face biometric machine for up to 50 staff costs about ₹8,883 including GST, while Zoho People’s Essential HR plan starts at ₹48 per employee per month billed annually (2026).
- Run the new system alongside your old register for one full pay cycle before switching over.
What Is an Attendance Management System?
An attendance management system is the set of tools and rules that record employee working time and turn it into numbers payroll can trust. It answers three questions for every person, every day: did they come, when did they work, and how should that day be paid?
The “system” part matters more than the device.
A biometric machine on the wall only captures punches. A full employee attendance management system also knows your shifts, your grace period for late arrival, your leave balances and your overtime rate. Then it flags exceptions, such as a missed punch, and sends clean totals to salary.
Here’s the difference in one table:
| Capability | Paper register | Biometric machine alone | Attendance management system |
|---|---|---|---|
| Captures in/out time | By hand | Yes | Yes (app, supervisor or biometric) |
| Applies shift and late rules | Manually | No | Yes |
| Tracks leave and overtime | Manually | No | Yes |
| Handles missed punches | Whiteout and memory | Raw export to clean | Correction with an approval record |
| Feeds payroll | Retyped into Excel | Exported and retyped | Directly |
For businesses running several plants or outlets, the system also gives owners a real-time view of who is present, late or on leave at each location, without a phone call to every supervisor.
Why Manual Attendance Costs More Than You Think
Manual attendance looks free because nobody sends you an invoice for it. The cost hides in HR hours, payroll mistakes and paid time that was never worked.
Three leaks show up again and again.
1. Time theft and buddy punching. In a July 2026 survey of 831 US hourly workers run by Centiment for OnTheClock, 25% said they had clocked in or out for a co-worker, or had one do it for them, in the past 12 months (Action News Jax).
The same survey found 43% had adjusted reported hours. That’s US data, but any register where one person can sign for another carries the same risk.
2. Absence you can’t see. A Mercer survey of 455 employers, sponsored by Kronos, put the total cost of employee absence at about 36% of base payroll, with unplanned absence alone at about 9% (Plansponsor, 2008).
The study is old. The lesson isn’t: you can’t manage absenteeism patterns you only discover at month end.
3. Overtime calculation errors. This one is quiet and expensive.
The ÷30 mistake (our calculation)
Mera Udyog’s overtime calculation guide uses the common formula of monthly wage ÷ 26 days ÷ 8 hours × 2 × overtime hours. For a worker earning ₹20,800 a month who does 10 hours of overtime, that gives ₹2,000.
Divide by 30 days instead and the figure drops to about ₹1,733. That’s ₹267 underpaid per worker, per month.
Across 50 workers with similar overtime, it adds up to about ₹13,350 a month, or roughly ₹1.6 lakh a year in wrong payslips.
Underpaying overtime isn’t a saving. It’s a compliance risk and a reason good workers leave.

How an Attendance Management System Works: The Punch-to-Payslip Chain
Every attendance tool, from a ₹0 app to an enterprise HRMS, follows the same five steps. We call it the Punch-to-Payslip Chain: Capture, Rules, Exceptions, Approval and Salary. If any one link is weak, payroll breaks.
Link 1: Capture
The system records when work starts and stops. Capture can happen through a mobile app with location check-in, a supervisor marking a shift, or a biometric or RFID machine at the gate.
Link 2: Rules
Raw punches mean nothing until rules are applied. The system checks each punch against the shift (for example, 9 am to 6 pm), your grace period, half-day rules and weekly offs.
For example, a night shift from 10 pm to 6 am crosses midnight. A good system counts it as one working day, not two broken ones.
Link 3: Exceptions
A missed punch, a late mark, an early exit or overtime beyond the shift gets flagged instead of silently ignored. This is where buddy punching and forgotten punches get caught.
Link 4: Approval
A supervisor or HR person approves or corrects each exception. The best systems keep a record of who changed what and when, so corrections don’t turn into disputes. Indian HR teams often call this step attendance regularization.
Link 5: Salary
Approved attendance, approved leave and overtime flow into the salary sheet. Paid days, deductions and overtime pay are calculated without retyping.

Pro tip: When you evaluate any tool, ask the vendor to walk one employee’s month through all five links in the demo. Most tools look good at Capture and fall apart at Exceptions.
Types of Attendance Tracking Systems (and Who Each One Suits)
The right attendance tracking system depends on where your people work, not on which technology sounds most modern. A factory gate, a retail counter and a field sales route need different capture methods.
Here’s how the main types compare:
| Type | How it captures | Best for | Watch out for |
|---|---|---|---|
| Paper register / muster roll | Signature or tick | Single-shift teams under ~15 people | Proxy signatures, manual totals |
| Biometric attendance system (fingerprint or face) | Fingerprint or face scan at a device | Factory gates, single entry points | Device downtime, export cleaning |
| RFID or card swipe | Card tapped on a reader | Offices with access control | Cards shared between staff |
| Mobile app (GPS, geofencing or location check-in) | Phone check-in from inside a set work location | Field sales, service teams, multiple outlets | Needs clear location rules and consent |
| Supervisor marking by shift | Supervisor marks the crew on a phone | Shop floors, construction, plants with rotating shifts | Needs approval rules and a correction record |
| Cloud-based HRMS | Any of the above, synced online | Multi-site businesses wanting one view | Internet dependency at remote sites |
Most growing businesses end up mixing methods.
A biometric attendance system at the plant gate, supervisor marking for contract crews, and a staff attendance app for the sales team. What matters is that all three land in one record and one payroll.
Note: Face recognition and fingerprint data are personal data under India’s data protection rules. More on that in the compliance section below.

Attendance Management System Cost in India: 5 Options Compared
An attendance management system in India can cost anything from ₹0 to around ₹10,000 a month for a 50-person team, depending on whether you only need capture or need attendance, leave, overtime and payroll in one place.
We checked current prices in November 2026. Here’s what each option costs for a 50-person business:
| Option | What you pay (50 staff) | What’s included | Source |
|---|---|---|---|
| Paper register | ₹0 in software | Capture only. All rules, totals and payroll done by hand | n/a |
| Face biometric machine (eSSL AiFace Mars) | About ₹8,883 one-time, incl. GST | Device plus 1 year of cloud software and app, up to 50 staff. Payroll not included | NavKar Systems |
| Zoho People, Essential HR | ₹48 per employee per month billed annually (₹2,400/month), or ₹60 monthly | HR and attendance with geo check-in. Free plan up to 5 employees | ITforSME, Zoho partner |
| greytHR, Essential | ₹2,495 per month for 50 employees | HR and payroll suite | greytHR pricing, as checked in our payroll software comparison on Oct 26, 2026 |
| Mera Udyog | ₹9,999 per month, or ₹89,990 per year, up to 50 users (excl. GST) | Attendance, shifts, overtime and payroll, plus CRM, GST billing and inventory | Mera Udyog pricing |
Disclosure: Mera Udyog is our product. Its price covers several business modules, so it isn’t a like-for-like match with attendance-only or HR-only tools.
So which one should you pick?
If you only need clean punch records, a biometric machine or a basic HR app is enough. If your real pain is month-end payroll across shifts and locations, compare tools on how well they handle Links 2 to 5 of the chain, not on the device price.
Note: Prices change often. Re-check each vendor’s pricing page before you buy, and ask what happens to cloud software costs after year one.
Attendance Rules Under India’s 2025 Labour Codes and DPDP Rules
India’s four labour codes came into force on 21 November 2025, replacing many older labour laws (LiveLaw). Together with the Digital Personal Data Protection (DPDP) Rules, they change what your attendance records must show and how you must protect them.
Most attendance guides ranking today were written before these changes. Any attendance management system India businesses use in 2026 has to support the points below.
Working hours and overtime
Under the Occupational Safety, Health and Working Conditions (OSH) Code, 2020, overtime applies to work beyond 8 hours in a day or 48 hours in a week, is paid at twice the ordinary rate of wages, and is capped at 125 hours in a quarter (India Briefing, 2025). States can set their own details, and shops and offices often fall under their state’s Shops and Establishments Act.
That’s why an attendance management system needs to track overtime per person, per quarter, not just per month.
Records and registers
The same India Briefing guide notes that the overtime register (Form VIII) must be kept electronically and be available on the premises. Under the Code on Wages, 2019, failing to maintain proper records can attract a fine of up to ₹10,000 for a first offence (iPleaders, 2026).
A paper muster roll still works legally in many cases. But a digital record with a clear correction history is far easier to produce during an inspection.
Employee data privacy (DPDP Rules)
The DPDP Rules, 2025 were notified on 14 November 2025, with broader compliance obligations applying after 18 months and penalties of up to ₹250 crore for inadequate security safeguards (Biometric Update).
Fingerprints, face scans and GPS location are all personal data.
Here’s how to stay on the right side:
- Tell employees in writing what attendance data you collect and why.
- Track location only during working hours, never after check-out.
- Pick a vendor that encrypts data and lets you control who sees it. Our guide to cloud-based HRMS software has a security checklist.
Important: This section is general information, not legal advice. Rules vary by state and type of establishment, so confirm your setup with a CA or labour consultant.

Features to Look For in Attendance Management Software
The best attendance management software for your business is the one that handles your messiest real-world case, not the one with the longest feature list. Start with the five links of the chain and check each feature against how your people actually work.
Here’s a 10-point checklist we recommend:
- Multiple shifts, including night shifts that cross midnight and rosters that rotate week to week.
- Late marks and grace periods set per shift, with half-day rules.
- Overtime tracking per person, with your rate and a quarterly total.
- Leave management linked to attendance, so approved leave isn’t marked absent.
- More than one capture method (app, supervisor, biometric) feeding one record.
- Biometric integration with the machines you already own. Ask the vendor to confirm your model.
- Corrections with an approval record showing who changed a punch and when.
- Live view by location of who is present, late or on leave, plus employee self-service so staff can see their own records.
- Direct payroll output, with a review step before salaries are released.
- Statutory rules for your state. Check that payroll follows your state’s rules, not just “India”.

Where Mera Udyog fits
Mera Udyog is built for Indian manufacturers and multi-outlet retail chains with 20 to 500 people. Its attendance and payroll software supports multiple shifts across plants and outlets, supervisor marking by shift, biometric machine integration, late marks, leave and overtime per person, and salary calculated from all three.
Staff can check in and out from their location and log breaks in the Mera Udyog Android app. Two honest limits: statutory payroll currently follows Maharashtra rules, so businesses in other states should confirm in a demo. And if you only need attendance for 10 people, a cheaper single-purpose tool will do.
How to Roll Out an Attendance Management System (Real Example)
The safest way to roll out a new attendance system is to start with the workflow that causes the most month-end pain, include every employee from day one, and run it alongside your old method for one full pay cycle. That’s how Sidheshwarr RMC did it.
The case: Sidheshwarr RMC, Nagpur
Sidheshwarr RMC is a ready-mix concrete maker with three plants and a head office in Nagpur, Maharashtra, and more than 200 blue-collar and white-collar staff.
Their attendance problem was typical for manufacturing: multiple shifts across three plants, overtime and leave that had to reach payroll correctly, and supervisors spread across sites.
Here’s what changed:
- Supervisors now mark attendance and overtime across shifts on the Mera Udyog app.
- HR manages leave and runs payroll for both blue-collar and white-collar staff from the same records.
- Leadership sees all three plants and the head office in one dashboard.
The biggest decision was scope. The company rolled the system out to all 200 people, not just office staff. Director Partth Jaishwall described the platform as “the one place our whole operation runs from now.”
Why does that matter?
Because a system only half your staff use creates two records. And two records means the same month-end reconciliation you were trying to escape.
Your 5-step rollout plan
- Write the attendance policy first. Shifts, grace period, half-day rules, overtime rate, weekly offs and who approves corrections.
- Choose capture methods per group. Biometric at the gate, supervisor marking for crews, app for field staff.
- Set up shifts and rules, then test one employee’s full month through the Punch-to-Payslip Chain.
- Run a parallel pay cycle. Keep the old register for one month and compare totals line by line before switching.
- Switch and review monthly. Check exceptions weekly, not just at month end.
Pro tip: Start with your most frustrating daily workflow, usually overtime or missed punches. Quick wins there get supervisors on board faster than any training session.

Now It’s Your Turn
An attendance management system isn’t really about the machine on the wall. It’s about the chain from the first punch to the final payslip, and making sure no link in that chain depends on someone’s memory at month end.
Start with your policy, test one employee’s month, and run one parallel pay cycle before you switch.

FAQ
What does an attendance management system do?
An attendance management system is software that records employee in and out times, applies shift, leave and overtime rules, and produces payroll-ready totals. It replaces paper registers and manual Excel work. Punches can come from a mobile app, a supervisor or a biometric machine.
How is an attendance management system different from a biometric machine?
A biometric machine only captures punches. An attendance management system also applies your shift rules, flags late marks and missed punches, tracks leave and overtime, and sends approved totals to payroll. Many businesses connect their existing biometric machine to an attendance management system.
Which type of attendance system is best for a small business in India?
The best type depends on where your staff work. A biometric machine suits a single factory gate, supervisor marking suits rotating shop-floor shifts, and a mobile app suits field and multi-outlet teams. Businesses with more than about 15 to 20 staff or more than one location usually benefit from software that combines these methods.
Is it legal to track employee attendance using GPS in India?
GPS attendance tracking is widely used in India, but location is personal data under the DPDP Rules, 2025. Inform employees in writing what you collect and why, track location only during working hours, and use a vendor with proper data security. Confirm your specific setup with a legal advisor.
How much does an attendance management system cost in India?
For a 50-person team in 2026, costs range from about ₹8,883 one-time for a face biometric machine with a year of cloud software, to around ₹2,400 to ₹3,000 a month for an HR app like Zoho People Essential HR, to ₹9,999 a month for an all-in-one platform like Mera Udyog. Paper registers cost nothing in software but cost the most in HR time and errors.
How does attendance connect to salary?
Approved attendance, leave and overtime decide paid days, deductions and overtime pay. Overtime under India’s OSH Code, 2020 is paid at twice the ordinary rate of wages for work beyond 8 hours a day or 48 hours a week. An attendance management system calculates these automatically instead of retyping registers into Excel.
