Picking the best payroll software in India feels harder than it should.
Every “top 10” list you open is written by a payroll company that ranks itself first. Prices are a year old. And almost none of them show what happens when you have 120 workers on three shifts with overtime.
So we did the boring work. We checked the pricing page of every tool on this list on October 26, 2026, worked out what each one really costs at 20, 50 and 100 employees, and tested them against the problems factories and retail chains actually have.
Here’s what you’ll get:
- Verified, like-for-like prices for 8 tools
- A worked salary example with PF, ESI, Professional Tax and overtime
- The Shop-Floor Payroll Test: 7 checks before you sign up
The best payroll software in India is the tool that turns attendance into correct salaries without manual work: it calculates PF, ESI, Professional Tax and TDS, generates payslips and Form 16, handles shifts and overtime, and fits your headcount and budget. For most Indian SMEs that means a cloud tool costing ₹1,000 to ₹10,000 a month.
Quick answer: best payroll software in India (October 2026)

Disclosure: Mera Udyog is our product, and it’s on this list. We’ve been upfront about where it fits and where it doesn’t, and every competitor price comes from the vendor’s own pricing page.

How We Picked and Priced These Tools
We picked tools that Indian SMEs actually shortlist: every competitor here appears on at least one of the top-ranking “best payroll software” lists in Google India, sells to Indian businesses, and supports Indian statutory payroll (PF, ESI, Professional Tax and TDS). We added Mera Udyog because it’s our product and built for the factories and retail chains this guide is written for.
Then we fixed the one thing every other list gets wrong: price.
Most people searching for the best payroll software India has to offer, or the top 10 payroll software in India, land on these vendor lists. Here’s what we found when we compared them:
- The same tool, three prices. greytHR’s Essential plan is listed at ₹2,495 on greytHR’s own pricing page, but at ₹3,495 on two other top-ranking lists.
- Different bases. One list quotes Zoho Payroll per user and greytHR per 50 employees, side by side, which makes them impossible to compare.
- Stale numbers. greytHR’s own list says its prices were captured in November 2025.
So we used one rule: list price from the vendor’s own pricing page, excluding GST, for the same headcount. Where a vendor doesn’t publish a price, we say so instead of guessing.

Prices change often. Use our numbers as a starting point and confirm on the vendor’s site before you buy.
Payroll Software Price in India: What 20, 50 and 100 Employees Really Cost
Payroll software in India costs roughly ₹1,000 to ₹14,000 a month for 20 to 100 employees, before 18% GST. The table below is our own calculation from each vendor’s published base price and per-employee add-on charge.
| Tool and plan | 20 employees | 50 employees | 100 employees | How we calculated |
|---|---|---|---|---|
| Kredily Payroll OS | ₹1,249 | ₹2,499 | ₹4,999 | ₹1,249 for 25, then ₹50 each |
| Zoho Payroll Standard | ₹1,000 | ₹2,000 | ₹4,000 | ₹1,000 for 25, then ₹40 each |
| greytHR Essential | ₹2,495 | ₹2,495 | ₹4,745 | ₹2,495 for 50, then ₹45 each |
| Pocket HRMS Standard | ₹2,995 | ₹2,995 | ₹5,995 | ₹2,995 for 50, then ₹60 each (billed annually) |
| RazorpayX Payroll | ₹3,499 (Prime) | ₹6,499 (Elite) | ₹13,999 (Elite) | Elite ₹6,499 for 50, then ₹150 each |
| Mera Udyog | ₹9,999 | ₹9,999 | Custom | Flat ₹9,999 for up to 50 users, all modules |
| Keka | Quote | Quote | Quote | No public price; setup fee applies |

All figures are monthly list prices in rupees, excluding GST, as published on October 26, 2026.
Two things jump out:
- Payroll-only tools are cheap at small headcounts. Zoho Payroll and Kredily cost less than ₹2,500 a month for 50 people.
- The gap closes once you count the other tools you pay for. Mera Udyog’s price includes a telecalling CRM, GST billing and inventory. If you’re paying separately for a CRM and a billing tool, add those bills to the payroll-only prices before comparing.
Pro tip
Ask every vendor the same question: “What will I pay in month 13 for 75 employees, including GST, setup and attendance integration?” It surfaces setup fees, integration charges and annual-only billing.
The 8 Best Payroll Software in India, Reviewed
Each review below covers who the tool suits, what it does well, its honest limits, and its verified price. The order follows fit for factories and multi-outlet retail, the audience this guide is written for.
1. Mera Udyog: Best for Factories and Multi-Outlet Retail Chains
Mera Udyog is an all-in-one business app that runs attendance, payroll, a telecalling CRM, GST billing and inventory for Indian businesses with 20 to 500 people. Payroll is built on the same attendance records supervisors mark each shift, so overtime and leave flow into salary without re-typing.
Who it’s for: Manufacturing units with one or more plants, and retail chains with several outlets, that are tired of running five separate tools. It’s built as business management software first, with payroll as one connected module.
Key features:
- Multi-shift attendance across plants and outlets, with biometric machine support
- Overtime and leave added to salary automatically
- Payslips, PF and ESI calculation, Maharashtra Professional Tax and TDS with Form 16
- Blue-collar and white-collar staff in one payroll
- The same app runs sales calls, GST invoices and stock by location
Beyond Payroll: Mera Udyog Core Features
| Module | What it does |
|---|---|
| Sales & CRM | Capture enquiries from calls, QR codes and links, record customer KYC, send quotations, route confirmed orders to the right plant, and see combined sales across branches |
| SIM-based call analytics CRM | Calls made from your team’s own phone SIM are logged against each lead, with call logs, per-employee call analytics and call sequences for follow-ups. No separate dialer or cloud telephony needed |
| Accounts & GST | GST invoices, payments received and pending, and expense tracking |
| Inventory | Stock by warehouse, low-stock alerts and purchase orders |
| Hiring | Job posts, interviews, onboarding, employee records and assets |
| Team & Tasks | Daily tasks, employee complaints, and team chat plus WhatsApp and email |
| Multi-location | Each plant, outlet or branch manager sees their own location, while the owner sees everything |
This is the main difference from payroll-only tools on this list: salary, sales, billing and stock live in one database, so an owner can see staff cost next to sales for each plant or outlet. Learn more about the GST billing software, inventory management software and AI features.
Separate Tools vs One App: Monthly Cost
Here’s what a 50-person business pays to cover HR, a calling CRM, billing and inventory with three separate tools, compared with one Mera Udyog plan (prices excluding GST, checked October 26, 2026):
| Need | Separate tool | Monthly cost |
|---|---|---|
| HR, shifts, overtime and payroll (50 employees) | greytHR Growth | ₹4,495 |
| Calling CRM (20 users) | NeoDove NeoPlus, ₹24,999 a year | ₹2,083 |
| GST billing and warehouse inventory (15 users) | Zoho Books Elite, billed annually | ₹4,999 |
| Total for three tools | Three logins, three bills, data typed three times | ₹11,577 |
| Mera Udyog, everything in one app | Up to 50 users, billed annually (₹9,999 billed monthly) | ₹7,499 |
The separate-tools stack costs about ₹1,38,900 a year against ₹89,990 for Mera Udyog, and it still has no shared database between HR, sales and stock.
Pricing: One price for the complete business management software: HR, payroll, SIM-based call analytics CRM, GST billing and inventory, ₹9,999 a month for up to 50 users plus GST, or ₹89,990 a year (about ₹7,499 a month). See Mera Udyog pricing.
Limits to know:
- Statutory payroll currently follows Maharashtra rules, so it suits businesses based in Maharashtra best.
- If you only need payroll, cheaper payroll-only tools exist (see the price table above).
Read the full Sidheshwarr RMC case study to see how a multi-plant team runs payroll, leave and sales on one system.

Verdict: The best payroll software in India for a Maharashtra factory or retail chain that wants payroll connected to the rest of the business, and a complete business management software for ₹9,999 a month instead of paying for HR, CRM and billing separately.
2. greytHR: Best Payroll-First HR Tool for Growing SMEs
greytHR is one of India’s best-known payroll and HR platforms, built around payroll processing with leave and attendance added on. It’s a safe, widely used choice for offices and growing SMEs.
Who it’s for: SMEs that want a dedicated payroll and HR tool with a large user base and lots of community help.
Key features:
- Complete payroll processing and leave management on the Essential plan
- Advanced attendance, shift management, overtime and geo-fencing on the Growth plan
- Statutory compliance for Indian payroll
Pricing (checked October 26, 2026):
- Essential: ₹2,495 a month for 50 employees, plus ₹45 per extra employee
- Growth: ₹4,495 a month for 50 employees, plus ₹85 per extra employee
- Premium: quoted by sales
A 7-day free trial is available.
Limits to know: Shift and overtime features need the Growth plan, so factories should budget for Growth, not Essential. Sales CRM, billing and stock are outside its scope.
Verdict: A strong payroll-only pick. Factories should compare Growth plan pricing, not the headline price.
3. Zoho Payroll: Best Low-Cost Option for Small Teams
Zoho Payroll is a cloud payroll tool from Zoho with a free plan for up to 10 employees and low per-employee pricing after that. It fits neatly if you already use Zoho Books or other Zoho apps.
Who it’s for: Small offices, startups and businesses already in the Zoho ecosystem.
Key features:
- PF, ESI, Professional Tax and Labour Welfare Fund support
- TDS calculation and Form 16 generation
- Employee self-service portal and payslips
Pricing (checked October 26, 2026):
- Free: up to 10 employees
- Standard: ₹1,000 a month for 25 employees, plus ₹40 per extra employee
- Professional: ₹3,000 a month for 50 employees, plus ₹60
- Premium: ₹4,000 a month for 50 employees, plus ₹80
A 14-day Premium trial is available.
Limits to know: Zoho’s own FAQ says Zoho Payroll calculates TDS and tracks challans but does not file or deposit TDS for you. Shift-heavy factories may find attendance needs more setup.
Verdict: The best free payroll software in India for teams of 10 or fewer, and great value up to about 50 people.
4. RazorpayX Payroll: Best for Payroll Plus Salary Payouts
RazorpayX Payroll comes from Razorpay and is built for companies that want salary processing and bank payouts handled together. It ranks right at the top of Google India for payroll searches.
Who it’s for: Startups and digital businesses that already use Razorpay and want salaries, compliance payments and contractor payments in one flow.
Key features:
- Automated payroll and statutory compliance
- Custom roles, approval workflows and custom reports on the Elite plan
- A relationship manager, free for organisations with 100+ employees
Pricing (checked October 26, 2026):
- Prime: ₹3,499 a month for up to 20 employees
- Elite: ₹6,499 a month for 50 employees, plus ₹150 per extra employee
- Enterprise: quoted
Add 18% GST to all plans.
Limits to know: It gets expensive past 50 employees because of the ₹150 per-employee charge. Razorpay’s plan documentation says third-party attendance integrations cost extra on Prime and Elite.
Verdict: Excellent for payout-heavy startups. Less cost-effective for large blue-collar teams.

5. Keka: Best for Funded Startups and Tech Companies
Keka is a full HR and payroll platform popular with Indian tech companies and startups, covering payroll, performance, hiring and timesheets. It’s known for a polished employee experience.
Who it’s for: Tech-led companies that want an HR suite with strong employee self-service.
Key features:
- Payroll automation and statutory compliance on all core plans
- Multiple legal entities (pay groups) as an add-on on the Growth plan
- Separate hiring and project timesheet products
Pricing (checked October 26, 2026): Keka’s pricing page does not publish prices. It asks you to contact sales, and its FAQ says a nominal setup fee applies.
Limits to know: No public pricing makes like-for-like comparison hard. Its strengths lean toward office teams more than shop-floor workers.
Verdict: A good fit for growing tech companies with budget for a full HR suite.
6. Pocket HRMS: Best Full HRMS for Mid-Sized Firms
Pocket HRMS is an Indian HRMS with payroll, attendance and HR modules, aimed at mid-sized businesses that want everything HR in one place.
Who it’s for: Mid-sized companies that want payroll inside a broader HR system.
Key features:
- Payroll processing with automated taxes and compliance
- A custom payslip designer on the Professional plan
- Payroll journal voucher integration on Premium
Pricing (checked October 26, 2026):
- Standard: ₹2,995 a month for 50 employees, plus ₹60 per extra employee
- Professional: ₹4,495 a month for 50 employees, plus ₹90
- Premium: quoted, for 100+ employees
Standard and Professional are billed annually.
Limits to know: Annual billing means a bigger upfront payment. Sales and billing are outside its scope.
Verdict: Solid value for mid-sized firms that want a full HRMS.
7. Kredily: Best Free Payroll Software in India for Tight Budgets
Kredily offers a Free Forever plan that calculates PF, ESI, Professional Tax and TDS and generates payslips for unlimited employees. Paid plans add salary payouts and statutory challans.
Who it’s for: Very small businesses that need correct payroll calculations at zero cost.
Key features:
- Free plan: statutory calculations and payslips
- Payroll OS plan: salary payouts via ICICI Bank and NEFT, PF and ESI challans, Form 16, overtime, daily wages and mid-month payouts
Pricing (checked October 26, 2026):
- Free Forever: ₹0
- Payroll OS: ₹1,249 a month for up to 25 employees, plus ₹50 per extra employee
- Professional: ₹1,749 a month for up to 25 employees, plus ₹70
Limits to know: The free plan has no bank payouts, challans, Form 16 or reports, and allows only one salary structure. Most growing businesses will need a paid plan within months.
Verdict: The cheapest way to start. Plan to upgrade once you have overtime or daily-wage staff.
8. Paybooks: Best for Simple Office Payroll
Paybooks is a long-running Indian payroll tool focused on straightforward salary processing and compliance for office teams.
Who it’s for: Small offices with simple salary structures.
Key features:
- Payroll processing and statutory compliance for Indian businesses
- Plans that scale from 30 to 50 employees, with per-employee charges beyond that
Pricing (Paybooks’ own article, July 2024):
- Essential: ₹2,499 a month for up to 30 employees
- Regular: ₹4,999 a month for up to 50 employees
- Premium: ₹9,999 a month for up to 50 employees
- Extra employees: ₹50 to ₹60 each
We couldn’t find a newer public price list, so confirm before buying.
Limits to know: Older public pricing and an office-first focus make it a weaker fit for shift-based teams.
Verdict: Fine for simple office payroll. Check current prices first.
The Shop-Floor Payroll Test: 7 Checks Before You Buy
The Shop-Floor Payroll Test is our 7-point checklist for choosing payroll software for factories and retail chains, where most errors come from shifts, overtime and multiple locations rather than from salary formulas. Run every shortlisted tool through it during the free trial.
- Shifts: Can you set different shifts per plant or outlet (morning, night, weekend)?
- Overtime at 2x: Does overtime pay at twice the ordinary rate, the standard under the OSH Code, 2020?
- Biometric import: Do punches from your existing biometric machines flow straight into attendance?
- Multi-location view: Can each manager see their own plant or outlet while you see all of them?
- State rules: Does Professional Tax follow your state’s slabs, and every state you operate in?
- Daily-wage staff: Can daily-wage and monthly staff sit in the same payroll?
- Connected data: Does payroll share data with your sales, billing or stock tools, or is it one more login?

Here’s how to use it:
- Score each tool out of 7.
- Anything under 5 will push work back into Excel.
- Test with one real month of your attendance, not demo data.
Resource: Download our free salary slip format to compare payslips from each tool side by side.
Payroll Compliance in India: What Your Software Must Handle
Payroll compliance in India means deducting and depositing PF, ESI, Professional Tax and TDS correctly every month, and following the labour codes on wages and overtime. Good payroll software calculates all of it automatically, but you should know the rules to check its output.
| Rule | What it says | Source |
|---|---|---|
| Provident Fund (PF) | 12% from the employee and 12% from the employer (3.67% to EPF, 8.33% to EPS), on a wage ceiling of ₹15,000 a month, plus 0.5% EDLI and 0.5% admin charges | EPFO rules, summarised by MYND (2026) |
| Employees’ State Insurance (ESI) | Employer 3.25% and employee 0.75% of wages, for employees earning up to ₹21,000 a month | ESIC (rates effective July 1, 2019) |
| Professional Tax, Maharashtra | Men: nil up to ₹7,500, ₹175 for ₹7,501 to ₹10,000, ₹200 above ₹10,000 (₹300 in February). Women: nil up to ₹25,000 | ClearTax (2025) |
| TDS on salary | Deducted monthly from taxable salary; Form 16 issued yearly | Income Tax Act |
| Code on Wages, 2019 | In force since November 21, 2025. Basic pay, DA and retaining allowance must be at least 50% of total pay | India Briefing (2026) |
| OSH Code, 2020 | Overtime after 8 hours a day or 48 a week, paid at 2x, capped at 125 hours a quarter | India Briefing |

Sources for every row are linked in the Sources section at the end.
The 50% wage rule matters more than most owners realise. If basic pay is a small share of the salary, the shortfall is added back to wages, which raises PF and gratuity costs. Your payroll software should flag salary structures that break the rule.
These are general rules. Check specific cases with your CA or labour consultant, especially if you operate in more than one state.
Worked Example: One Factory Worker’s Salary, Line by Line
This worked example shows how payroll software in India calculates one month’s pay for a male machine operator in Pune earning ₹18,000 gross, with 10 hours of overtime. It’s the calculation every tool on this list should get right.
The worker:
- Basic + DA: ₹14,000 (78% of pay, so it meets the 50% rule)
- HRA and other allowances: ₹4,000
- Overtime worked: 10 hours
| Line item | Calculation | Amount |
|---|---|---|
| Fixed gross pay | ₹14,000 + ₹4,000 | ₹18,000 |
| Overtime pay | ₹14,000 ÷ 26 days ÷ 8 hours = ₹67.31 an hour, × 2 × 10 hours | ₹1,346 |
| Total gross salary earned | ₹19,346 | |
| Employee PF | 12% of ₹14,000 | −₹1,680 |
| Employee ESI | 0.75% of ₹19,346 | −₹145 |
| Professional Tax (Maharashtra) | Gross above ₹10,000 | −₹200 |
| TDS | Income below the taxable limit | ₹0 |
| Net pay to worker | ₹17,321 | |
| Employer PF | 12% of ₹14,000 | ₹1,680 |
| Employer EDLI and PF admin | about 1% of ₹14,000 | ₹140 |
| Employer ESI | 3.25% of ₹19,346 | ₹629 |
| Total cost to employer | Gross + employer contributions | ₹21,795 |

This is an illustration based on the rules above. ESI is rounded to the nearest rupee here; check your tool’s rounding.
Notice what decides the answer: attendance and overtime hours. If overtime is noted on paper and re-typed, this worker’s pay is wrong before the formulas even start. That’s why payroll tied to attendance matters more than any single feature.

Best Payroll Software in India by Business Type
The best payroll software depends on your headcount, workforce type and how many other tools you run. Use this table to shortlist two or three tools, then run the Shop-Floor Payroll Test.
| Your business | Shortlist | Why |
|---|---|---|
| Up to 10 employees | Zoho Payroll (free), Kredily (free) | Correct statutory calculations at zero cost |
| 10 to 50 office staff | greytHR Essential, Zoho Payroll Standard, Pocket HRMS | Low per-employee cost and mature payroll |
| Factory with shifts and overtime | Mera Udyog, greytHR Growth | Shift attendance and overtime flow into salary |
| Retail chain with several outlets | Mera Udyog | Outlet-wise attendance plus stock and enquiries in the same app |
| Startup paying salaries through Razorpay | RazorpayX Payroll | Payroll and payouts in one flow |
| Tech company wanting a full HR suite | Keka | Strong employee experience and HR modules |

Best Payroll Software for Small Business
For a small business, the best payroll software is usually the cheapest tool that passes at least 5 of the 7 Shop-Floor checks. Start free with Zoho Payroll or Kredily if you have fewer than 10 people and simple salaries.
Best Payroll Software for Manufacturing Units
For manufacturing units, shift attendance and overtime matter more than anything else. Choose a tool where supervisors mark attendance on a phone or biometric machine and overtime reaches salary without re-typing. Our guide to manufacturing ERP software explains how payroll fits with orders and stock.
Best Payroll Software for Retail Chains
For retail chains, the test is outlet-wise visibility: who reached each store on time, and one payroll for every outlet. See how retail management software brings staff, stock and enquiries onto one screen.
Payroll Software vs Excel: When Should You Switch?
Switch from Excel to payroll software once salary takes more than a day each month, you have overtime or shift staff, or you run more than one location. At that point, manual payroll costs more in time and errors than software does.

Here are the warning signs:
- Someone spends 2 or more days every month building the salary sheet
- Overtime is written on paper, then re-typed
- Workers dispute their pay at least once a month
- PF, ESI or PT challans are worked out by hand
- You have two or more plants, outlets or warehouses
Even one of these is a reason to start a free trial.
Pro tip
Keep your current salary sheet for one month after you switch and compare totals line by line. It’s the fastest way to spot a wrong setting.
How to Switch Payroll Software Without Missing a Pay Day
Switching payroll software takes one parallel month if you prepare employee data first. Here’s the 6-step process we recommend:
- Collect master data: employee codes, joining dates, salary structures, bank details, UAN and ESIC numbers.
- Set up rules: shifts, overtime rate, leave policy and your state’s Professional Tax.
- Import attendance: connect biometric machines or start phone attendance from the 1st of the month.
- Run a parallel month: process payroll in both Excel and the new tool.
- Compare and fix: match gross, deductions and net pay for every employee.
- Go live: release payslips from the new tool and archive the old sheet.
