Payroll software in India: what to look for

What payroll software should do for an Indian business, the questions to ask about attendance, overtime and statutory rules, and how to compare options. Written for owners, HR and accounts teams.

Quick answer

Payroll software prepares salary from attendance, approved leave and overtime, applies deductions, and produces the salary sheet and payslips. The best choice for an Indian business is one that records attendance in the same system, follows the statutory rules for your state, and has a price that does not climb with every new hire.

What it does

Every month someone has to answer one question for every employee: how much should they be paid? That answer depends on days worked, leave taken, overtime done and the deductions that apply. The software performs that calculation, keeps the history and produces a salary sheet and payslips you can review and share.

For an Indian business the details matter more than the label. Salary structures differ between factory and office staff, shifts and overtime change the number every month, and statutory rules vary by state. A product that ignores any of these simply moves the manual work somewhere else.

Why Excel stops working

Almost every company starts payroll in Excel, and it works until a few things change:

  • Headcount grows and the sheet takes days to prepare instead of hours.
  • Attendance arrives late from different supervisors, so salary is delayed.
  • Overtime is totalled by hand and employees dispute the figure.
  • Formulas get overwritten and nobody notices until a payslip is wrong.
  • One person owns the sheet, and the business depends on them being available.

It does not remove your salary policy. It applies it the same way every month and keeps a record of what was calculated.

How a payroll run works

  1. Close attendance. Confirm paid days, absences and half days for the month.
  2. Apply approved leave. Approved leave should reduce unpaid days, not be entered again in a separate sheet.
  3. Add overtime. Overtime hours recorded through the month are added to earnings. Our guide explains how to calculate overtime in India.
  4. Apply deductions. Statutory and company deductions are applied under the rules that cover your staff.
  5. Review and approve. Someone checks the salary sheet before it is final.
  6. Share payslips and pay. Payslips are issued and the payment is made through your bank.

Steps one to three are the slow ones when attendance, leave and overtime live in different places. That is why the choice is really a choice about how connected your data is.

What a payroll system for India should include

AreaWhat to look for
Employee recordsOne profile per person with joining date, role, location and salary details
Attendance linkPaid days come from the attendance record, not a separate file
Leave linkApproved leave is reflected in salary automatically
OvertimeHours recorded daily and added to earnings
Staff typesDifferent rules for factory and office staff in one system
Statutory rulesDeductions that follow the rules of your state, with a clear way to see what was applied
Payslips and reportsPayslips per employee and a salary report your accountant can use

If you only need a payslip layout, our free salary slip format is a good starting point.

Statutory rules: ask before you buy

Payroll rules in India are not the same everywhere. Deductions, contribution rules and thresholds differ by state and by the type of establishment, and they change when governments issue new notifications. Treat any claim of “fully compliant everywhere” with caution and ask the vendor in writing which states and rules are covered.

Mera Udyog’s statutory payroll currently follows Maharashtra rules. If you have staff in other states, ask us during your demo before relying on it there. Whichever software you pick, confirm the rules that apply to you with your CA or labour consultant.

Standalone payroll vs payroll connected to attendance

Standalone payroll toolPayroll with attendance built in
Attendance dataExported and imported every monthAlready in the same system
Leave and overtimeEntered or uploaded separatelyFlow into salary directly
Month-end effortCollecting and checking inputsReviewing a prepared salary sheet
Risk of mismatchHigher, two records to keep alignedLower, one record

For a business with shifts and overtime, the second column saves the most time. Read more about the attendance side in our guide to an attendance management system, and about leave in HRMS leave management.

How to choose

  1. Write down how you pay today. Staff types, shifts, overtime rules and pay dates.
  2. Check the attendance link. Ask where attendance, leave and overtime appear in the salary sheet.
  3. Ask about your state. Get a written answer on which statutory rules are supported.
  4. Run last month’s data. A good vendor will let you compare the result with your own sheet.
  5. Compare the full price. Per-employee pricing grows with headcount. Ask what is included.
  6. Ask about exports. You should be able to take your records with you.

Getting started

Run the new system alongside your Excel sheet for one pay cycle. Compare the two salary sheets line by line, fix the rules where they differ, and only then retire the spreadsheet. Keep the old files for your records.

Mera Udyog is one app for attendance, salary, sales, GST invoicing and stock. Payroll uses the attendance, leave and overtime already recorded in the app. See the attendance and payroll software page, pricing (a flat ₹9,999 per month plus GST for up to 50 users), or book a free demo.

Questions

Payroll questions

What is payroll software?

Payroll software prepares employee salary from attendance, leave and overtime data, applies deductions and produces a salary sheet and payslips. It replaces the monthly Excel calculation.

What should payroll software in India include?

At minimum: employee records, attendance, leave, overtime, salary structure, deductions and payslips. Check that it follows the statutory rules for the state where your staff work, and that you can export reports for your accountant.

Does payroll software handle statutory deductions?

Good ones do, but rules differ by state and change over time. Mera Udyog's statutory payroll currently follows Maharashtra rules, so if you have staff in other states, ask us in your demo before relying on it there. Always confirm with your accountant or labour consultant.

Why does payroll software need attendance data?

Salary depends on paid days, approved leave and overtime hours. If attendance lives in a separate tool, someone has to retype it every month. Software that records attendance and payroll together removes that step.

Can payroll software calculate overtime?

Yes, if overtime hours are recorded with attendance. Mera Udyog records overtime daily and adds it to salary when payroll is calculated, so nobody works out overtime pay by hand.

How much does payroll software cost in India?

Many vendors charge per employee per month, so the bill grows as you hire. Mera Udyog is a flat ₹9,999 per month plus GST for up to 50 users, with payroll, attendance and every other feature included. You can try it free for 7 days.

Stop rebuilding the salary sheet every month.
