Best CRM Software in India (2026): 10 Tools Compared With Real Team Costs

Prices for 5, 10 and 20 users, SIM calling vs cloud telephony, hidden costs, and a 7-point Lead Leak Test for your free trial.

Indian sales team capturing enquiries on phones, flowing into one pipeline board

Every Indian sales team has the same leak. Enquiries come in by phone, WhatsApp and walk-ins, and half of them never get a second call.

A CRM fixes that. But most lists of the best CRM software in India are written by CRM companies that rank themselves first, mix rupees with dollars, and quote prices that don’t match each other.

So we checked the prices ourselves on October 26, 2026, worked out what each CRM costs for 5, 10 and 20 users, and built a 7-point test you can run in any free trial.

Here’s what you’ll get:

  • 10 CRMs compared in rupees, side by side
  • The calling question most lists skip: SIM, cloud telephony or dialer
  • The Lead Leak Test, a 7-point checklist for your trial

The best CRM software in India is the one your team actually uses every day to capture every enquiry, call it back on time and turn it into a quotation and an order. For most Indian SMEs, that means a mobile-first CRM with call logging, WhatsApp follow-ups and rupee pricing that fits the team size.

Quick answer: best CRM software in India (October 2026)

How We Picked and Priced These CRMs

We picked these 10 CRMs because they appear most often on page one of Google for Indian CRM searches and in Indian buyer comparisons, and each has a price we could check. Then we priced every tool in rupees for the same team sizes.

Here’s what we found on the way, and why it matters:

  • Prices don’t match across lists. One page-one list shows Freshsales at ₹749 per user in its table and $9 in its pricing section. Another shows HubSpot’s paid plan from ₹3,778 per user, while a separate comparison lists HubSpot Starter at ₹585 per user on annual billing.
  • Most lists are written by CRM vendors. Groweon’s list puts Groweon CRM first, and TeleCRM’s list puts TeleCRM first, without a clear disclosure in the article.
  • Currencies are mixed. The same article quotes rupees, dollars and euros, so you can’t compare costs directly.

So we used one rule: the vendor’s own pricing page where it shows rupees, otherwise an authorised partner or a dated price listing, with the source and date named. Where a vendor only bills in dollars, we say so.

CRM Software Price in India: What 5, 10 and 20 Users Really Cost

CRM software in India costs about ₹1,500 to ₹25,000 a month for a 10-user sales team, before 18% GST, depending on whether you pay per user or a flat price. The table below is our own calculation from each vendor’s published per-user or flat price on annual billing.

Bigin Express₹2,000₹4,000₹8,000₹400 per user
Zoho CRM Standard₹4,000₹8,000₹16,000₹800 per user (free for up to 3 users)

Kylas₹12,999₹12,999₹12,999Flat price, unlimited users

Mera Udyog₹7,499₹7,499₹7,499Flat ₹89,990 a year for up to 50 users (₹9,999 billed monthly), includes HR, payroll, billing and inventory

All figures are monthly, excluding GST, from prices checked or published between July and October 2026.

Two things stand out:

  1. Per-user CRMs are cheapest for small teams. Bigin and Zoho CRM cost under ₹10,000 a month even at 10 users.
  2. Flat prices win as the team grows. At 20 users, NeoDove, Kylas and Mera Udyog cost less than most per-user CRMs, and Mera Udyog’s price also covers HR, payroll and billing.

Pro tip

Ask every vendor one question: “What will I pay in month 13 for 15 users, including GST, WhatsApp and calling?” It surfaces add-ons, setup fees and annual-only billing in one answer.

The 10 Best CRM Software in India, Reviewed

The 10 best CRM software options in India for 2026 are Mera Udyog, Zoho CRM, Bigin, Freshsales, HubSpot, Salesforce, LeadSquared, TeleCRM, NeoDove and Kylas. Each review covers who it suits, key features, pricing and limits.

1. Mera Udyog: Best CRM for Factories and Multi-Outlet Retail Chains

Mera Udyog is an Indian CRM software built into a complete business app for manufacturers and retail chains with 20 to 500 people. Enquiries, calls, quotations and orders sit in the same records as attendance, payroll, GST billing and stock.

Who it’s for: Manufacturing units and multi-outlet retail chains whose sales teams sell on the phone and need orders routed to the right plant or outlet.

CRM features:

  • Enquiry capture from calls, QR codes and links, with a “Came from” source, an owner and the next step for every lead
  • Customer KYC, quotations, sales orders and sales returns
  • Confirmed orders routed to the right plant, with a combined sales view across branches
  • SIM-based call analytics: calls made from each salesperson’s own phone SIM are logged against the lead, with call logs and call logs analytics
  • Call sequences for planned follow-ups, plus message templates for WhatsApp and email
  • Cost analysis, sales analytics and reports
  • AI call summarization for recorded calls
Indian CRM software sales menu with leads, quotations, sales orders and call sequences
Leads to orders to returns, in one sales menu.

AI on your own sales data: Mera Udyog connects to ChatGPT, Claude or Gemini, and its native MCP Builder exposes your records and actions as an MCP server. An owner can ask questions such as:

  • “Which new leads haven’t been contacted yet?”
  • “Which leads visited our office but got no follow-up?”
  • “Show me the hottest leads this week.”

The AI can then add a note to a lead or notify the salesperson who owns it.

Pricing: One price for the complete business management software: SIM-based call analytics CRM, HR, payroll, GST billing and inventory, ₹9,999 a month for up to 50 users plus GST, or ₹89,990 a year (about ₹7,499 a month). See Mera Udyog pricing.

Limits to know:

  • For a team of 3 to 5 users that needs only a CRM, Bigin or Zoho CRM costs less.
  • It’s built for Indian manufacturers and retail chains, not for global sales teams selling in many currencies.

See how a multi-plant team uses SIM-based call analytics, CRM and quotations together in the Sidheshwarr RMC case study.

Verdict: The best CRM software in India for factories and retail chains that sell by phone, and a complete business management software for ₹9,999 a month instead of paying for CRM, HR and billing separately.

2. Zoho CRM: Best Full-Featured CRM for Growing Teams

Zoho CRM is one of the most widely used CRMs in India, with deep customisation, workflow automation and a large set of Zoho apps around it. Zoho CRM is free for up to 3 users. Standard costs about ₹800 per user a month, Professional ₹1,400, Enterprise ₹2,400 and Ultimate ₹2,600, billed annually (Cloudfy Systems, July 2026).

Best for: Teams of 10 or more that want a full sales pipeline, automation and reports, and can spend time on setup.

Limits: Calling, WhatsApp and inventory need add-ons or other Zoho apps. Setup takes more effort than simpler CRMs.

Verdict: A good CRM software choice for growing sales teams with someone to configure it.

Full CRMs add automation and custom stages as the team grows.

3. Bigin by Zoho: Best Low-Cost CRM for Small Teams

Bigin is Zoho’s simple pipeline CRM for small businesses. Zoho’s own pricing note lists Express at ₹400 per user a month, Premier at ₹720 and Bigin 360 at ₹1,080, all billed annually, plus a free edition (Bigin, 2026).

Best for: Teams of 1 to 10 that need contact management, a pipeline and follow-up reminders, not a full CRM.

Limits: Fewer automation and reporting options than Zoho CRM. You’ll move up as the team grows.

Verdict: The cheapest paid CRM on this list per user.

For small teams, a clear pipeline beats a complex CRM.

4. Freshsales: Best for Built-In Email and Phone

Freshsales, from Freshworks, combines a CRM with built-in email and phone. Authorised partner pricing lists Growth at ₹749 per user a month, Pro at ₹3,239 and Enterprise at ₹4,899 on annual billing, with a free plan (IT for SME).

Best for: SMEs that want email tracking and calling inside the CRM without extra tools.

Limits: Phone calls through Freshcaller are pay-per-use, so budget for minutes on top of the licence.

Verdict: Strong all-rounder for B2B SMEs.

5. HubSpot Sales Hub: Best for Teams That Also Run Marketing

HubSpot pairs a free CRM with paid Sales Hub plans. One India comparison lists Sales Hub Starter at ₹585 per user a month on annual billing and about ₹1,670 on monthly billing, while warning that the “starts at” price may be promotional (Vedain, 2026).

Best for: Teams that generate leads from content, forms and email marketing.

Limits: Professional plans cost several thousand rupees per user and add onboarding fees, so costs rise sharply after Starter.

Verdict: Great free CRM, expensive at scale.

6. Salesforce Starter Suite: Best for Teams Planning to Scale

Salesforce is the global CRM leader. Starter Suite costs $25 per user a month, and Pro Suite $100 per user a month billed annually (Salesforce).

Best for: Companies that expect to grow into a large sales organisation or already use Salesforce at a parent company.

Limits: Billed in dollars on the small business page, and a Tally link usually needs a third-party connector (Groweon, 2026).

Verdict: Powerful, but more than most Indian SMEs need on day one.

7. LeadSquared: Best for High-Volume Sales Teams

LeadSquared is an Indian CRM software popular in education, BFSI and healthcare, where teams handle thousands of leads a month. Published comparisons put its Pro plan at about ₹2,500 per user a month, or about ₹3,00,000 a year for 10 users (Kylas, estimate; TeleCRM, 2026).

Best for: Large inside-sales and field-sales teams with lead routing and automation needs.

Limits: No public price list, and the cost per user is among the highest here.

Verdict: Built for scale, priced for it too.

Lead routing matters once you handle thousands of enquiries a month.

8. TeleCRM: Best for Telecalling Teams

TeleCRM is built around phone calling from the mobile app. Its own comparison lists ₹799 per user a month billed annually and ₹1,099 billed quarterly (TeleCRM, August 2026).

Best for: Telecalling teams in real estate, education and services that live on the phone.

Limits: WhatsApp Cloud API setup and some sync features are paid add-ons, with prices not listed in the comparison.

Verdict: Good choice for pure telecalling teams.

9. NeoDove: Best Fixed-Budget Calling CRM

NeoDove prices by team, not by user. NeoLite costs ₹17,999 a year for up to 10 users and NeoPlus ₹24,999 a year for up to 20, with AI calling agent plans at ₹22,999 and ₹29,999 (NeoDove, checked October 26, 2026).

Best for: Small telecalling teams that want a low, fixed yearly cost.

Limits: WhatsApp API, IVR and VoIP cost extra, and the plans stop at 20 users.

Verdict: The lowest cost per seat for a 10 to 20 person calling team.

10. Kylas: Best Flat Price for Larger Teams

Kylas, from the makers of Sell.Do, charges a flat ₹12,999 a month (₹1,55,988 a year) for unlimited users (Kylas).

Best for: Teams of 20 or more that are tired of per-user bills.

Limits: For teams under about 15 users, per-user CRMs cost less.

Verdict: Predictable cost once the team is big.

SIM Calling vs Cloud Telephony vs Dialer: Which CRM Calling Do You Need?

Indian CRMs log calls in three ways: through the salesperson’s own phone SIM, through a cloud telephony number (IVR and virtual numbers), or through a dialer that calls leads automatically. Most CRM lists never explain the difference, but it decides your monthly bill and whether customers recognise the caller.

Calling methodHow it worksExtra costBest for
SIM-based callingThe CRM app logs calls made from the salesperson’s own phone and SIM against the leadUsually none beyond the phone planField sales, factories and retail teams on mobile
Cloud telephonyCalls run through a virtual number with IVR, routing and central recordingPer-minute or per-number chargesInbound call centres and support desks
DialerSoftware dials lists automatically and connects answered callsTelephony plus dialer licenceHigh-volume outbound telecalling
SIM-based calling vs cloud telephony vs dialer for CRM software in India
Pick the calling method before you pick the CRM.

Here’s the practical rule. If your sales team already calls from their own phones, a SIM-based call analytics CRM gives you call logs and per-employee analytics without new numbers or minute bills. Mera Udyog, TeleCRM and NeoDove work this way.

If you run an inbound helpline, cloud telephony is worth the cost. NeoDove, for example, lists IVR and VoIP as paid extras (NeoDove).

Hidden CRM Costs Indian Teams Miss

Hidden CRM costs are the charges outside the per-user licence, and they often decide the real monthly bill. These are the five we found most often in published pricing:

  1. WhatsApp Business API. Most CRMs connect WhatsApp through a paid API setup or add-on. TeleCRM lists a one-time WhatsApp Cloud API setup charge.
  2. Calling minutes. Freshsales charges for Freshcaller calls on a pay-per-use basis, and cloud telephony adds per-minute costs.
  3. Onboarding fees. HubSpot’s Professional plans add an onboarding fee on top of seats.
  4. Monthly vs annual billing. Monthly billing costs about 20% more than annual billing on both Freshsales (₹899 vs ₹749 on Growth) and Zoho CRM.
  5. Separate tools for quotations, invoices and stock. A CRM that stops at “Won” means you still pay for billing and inventory software.

The fix is simple: ask for the total for your team, with GST and add-ons, in writing.

The Lead Leak Test: 7 Checks Before You Buy a CRM

The Lead Leak Test is our 7-point checklist for finding where a CRM will let enquiries slip through, built from the gaps we saw in page-one CRM lists. Run it during every free trial with 20 of your real leads.

  1. Capture: Can enquiries from calls, WhatsApp, website forms, QR codes and walk-ins all land in one list automatically?
  2. Call logging: Are calls from salespeople’s phones logged against the lead without manual entry?
  3. Follow-up: Does the CRM schedule the next call and remind the owner, through call sequences or tasks?
  4. Speed: Can you see which new leads have not been contacted at all?
  5. Quotation to order: Can a salesperson send a quotation and convert it to a sales order in the same record?
  6. Multi-location: Can each branch or plant manager see only their own leads while the owner sees all of them?
  7. Reports: Can you see calls, follow-ups and conversions per salesperson in one dashboard?

Score every CRM out of 7 during the free trial.

Here’s how to score it:

  • 6 or 7: the CRM closes your lead leaks.
  • 4 or 5: workable, but expect manual work in spreadsheets.
  • 3 or less: keep looking.

Best CRM Software in India by Business Type

The best CRM depends on how your team sells: by phone, in the field, through branches or through inbound marketing. Use this table to shortlist two or three tools, then run the Lead Leak Test.

Your businessShortlistWhy

Looking for the best rated CRM software? Review sites mix global and Indian reviews, so a high rating from US companies says little about WhatsApp, GST quotations or calling from Indian SIMs. Use ratings to build a shortlist, then let the Lead Leak Test decide.

For manufacturers, the deciding question is whether a confirmed order reaches the right plant. Our manufacturing ERP software page shows how CRM orders flow into production and stock. For retail chains, see how retail management software brings outlet enquiries onto one screen.

Separate Tools vs One App: Monthly Cost

Here’s what a 50-person business pays to cover a calling CRM, HR and payroll, billing and inventory with three separate tools, compared with one Mera Udyog plan (prices excluding GST, checked October 26, 2026):

NeedSeparate toolMonthly cost
Calling CRM (20 users)NeoDove NeoPlus, ₹24,999 a year₹2,083
HR, shifts, overtime and payroll (50 employees)greytHR Growth₹4,495
GST billing and warehouse inventory (15 users)Zoho Books Elite, billed annually₹4,999
Total for three toolsThree logins, three bills, data typed three times₹11,577
Mera Udyog, everything in one appUp to 50 users, billed annually (₹9,999 billed monthly)₹7,499

The separate-tools stack costs about ₹1,38,900 a year against ₹89,990 for Mera Udyog, and it still has no shared database between sales, staff and stock.

Here’s why that matters for sales: the call a salesperson makes, the quotation they send, the invoice accounts raises and the stock the warehouse ships all come from one record. Learn more about the GST billing software, inventory management software and AI features.

How to Switch CRM in 14 Days

Switching CRM takes about two weeks if you clean your lead list first and run both systems for one week. Here’s the plan:

  1. Days 1 to 3: Export and clean. Export leads from Excel, your old CRM or phone contacts. Remove duplicates and fill in source and owner.
  2. Days 4 to 5: Set up stages. Map your real pipeline, such as New, Contacted, Site Visit, Quotation Sent, Won and Lost.
  3. Days 6 to 7: Connect channels. Link website forms, QR codes and WhatsApp, and install the mobile app with call logging on every salesperson’s phone.
  4. Days 8 to 14: Run in parallel. Log every new enquiry in the new CRM, and check the uncontacted-leads list every morning.
  5. Day 14: Switch off the old sheet. Review calls and follow-ups per salesperson in the first weekly meeting.
